Terms & Conditions

The terms ‘we’, ‘our’ and ‘us’ means Weekend Doctor Ltd. ‘You’ and ‘group contact’ refers to the person who has made the reservation and each member of the group on whose behalf the group contact has booked.

It is important that you read these terms and conditions. Your contract is with Weekend Doctor Ltd and these terms and conditions apply to all bookings taken from 1 January 2014 whether you have read them or not and they apply to all members of the group.

It is important that every group leader understands and accepts our terms and conditions at point of booking however the booking is made whether over the telephone, in person, in writing or via the Internet. A binding contract between us will come into existence only when we send our Booking Confirmation to you. It is the group leader’s responsibility to ensure every member of his/her party is aware of and adheres to our terms and conditions and supplies all information to the group accurately. The Group Leader is responsible for ensuring that all monies due are paid on time by the members of the group and that everyone within the group is aware of our Booking Conditions. By paying your deposit you acknowledge that you agree to our terms.



How to Book:

To secure a booking we require a £50 non-refundable deposit. Once the deposit has been paid a booking confirmation will be set to you via email. The rest of the group have 2 weeks from the time of the booking to pay £30 deposit to secure their place and the final balance is to be paid 6 weeks before the event date. We try to be as flexible as possible with groups and do allow individuals who cannot make the full weekend to attend the elements they can.


 Cancellation Policy

.  All deposits are non-transferable and non-refundable. Any amendments are free of charge up to 6 weeks before the event. Within 6 weeks of the event no amendments or cancellations are allowed. You can cancel within 6 weeks of the event but no monies will be paid back.

If you wish to cancel all or part of your booking, you may do so at any time up to 6 weeks prior to the start date of your package but you will lose all monies paid on the booking.

Numbers can go up or down up to 6 weeks before the event. After that the group leader can only add numbers subject to availability.

If a booking is made within 6 weeks of the event payment in full will be needed to secure the booking.
If there are an uneven number in the group a single occupancy supplement will be applicable from the hotel unless a triple room is available.

Weekend Dr’s Liability:

We have a long list of events we organise which some can include risk to you. Any booking is a contract between yourself and the supplier. We accept liability for death or personal injury caused by our negligence or that of our employees, but we do not accept liability for the negligence of any other persons. We accept no liability in any unusual or unexpected circumstances beyond our control, which we could not have avoided even if we had used all care possible, or any event which we or our supplier could not help, expect or prevent.

Your Documentation:

You are responsible for anyone in the group that they all satisfy all passport, visa, travel insurance and health certificate requirements. We are not responsible for any refusal of travel or entry into any destination or for any liabilities, losses, delays or expenses incurred through any irregularity in such documentation.

Health Precaution:   

It is your responsibility to ensure a good level of health is had by the group. You must inform us prior to 6 weeks before the event if anyone cannot take part in the events otherwise no money will be refunded and we will take no responsibility if you have not informed and have taken part in the event.

Prices and Price Changes:

At the time of booking the prices may vary from the initial quotes and the customer will be advised of any changes at the time of booking. Once full confirmation has been sent to you the prices will not change.

Payment and Surcharges:

We accept Debit Card, all major Credit Cards (excluding American Express, Transax and Diners) and payment directly into our bank account via BACS or online transfer.

When booking through Weekend Doctor you take full responsibility for your action whilst on activities or hotel stay. And damage occurred must be paid to the accommodation directly. Any activities not been able to go ahead due to lateness from the group, no refund will be liable from us.

Some accommodation will require the group to leave a behavioural bond/deposit on checking in. These are preventative measures to protect the accommodation from damage, complaints from other guests and against bad behaviour. Security deposits are common place for large group bookings and failure to pay will result in the group not being allowed to stay. Bonds are refunded on departure should there be no damage to rooms.”

Travel:

Weekend Doctor do NOT include transport the UK. They need to be booked separately.
We advise all our groups to take out travel insurance whether they are going in the UK.
We regret we cannot accept any responsibility for Force Majeure.
When filling in the online form you accept that you are happy to receive email communication. You may opt out at any time.

Activity Timings:

Timings provided must be adhered to at all times and failure to do so may result in your group being unable to participate in particular activities. We will not be held liable if you fail to arrive on time in resulting to the activity being cancelled.

Data Protection:

When a booking is made through us all information given to us including names, contact details and dietary requirements will be forwarded to the relevant suppliers some of which may be located outside the UK.
